Terms and Conditions of Sale
Last updated: November 4, 2026
These Terms and Conditions of Sale apply to every order placed with S & S Cooling, Inc., doing business as Fleet Cooling ("Fleet Cooling", "we", "us"), through www.fleetcooling.com. By placing an order you agree to them. Terms printed on your purchase order or other paperwork do not change these terms unless we agree in writing.
Your use of the website itself is covered by our Terms of Use. Returns are covered by our Returns and Refunds Policy, and delivery and pickup by our Shipping and Pickup Policy.
1. Prices
- All prices are in US dollars.
- The price you see depends on your account. You always get the lowest of: the quantity price for the number you are buying, your account's pricing level, and any sale price. A struck-out price is shown for comparison only.
- If you are not signed in, you see our standard retail price while browsing. When you check out as a guest, we charge our lower Customer price and show you the savings. Your new account keeps the Customer pricing.
- Prices can change at any time. The price that applies is the one calculated when you place your order, and it is shown on your order confirmation.
- Discount codes: one code per order. A code may have a minimum order, a maximum discount, dates and a usage limit.
- Custom core builds: we review each build request and set a final price. That price can be ordered for 7 days after we set it. After that, ask us to re-price it.
- If a price on the website is clearly wrong (for example, a typing error), we may cancel the affected order and void or refund any payment, even after you receive an order confirmation.
2. Placing an order
- You can order with an account or as a guest. When you check out as a guest, we create an account for you and email you a link to set a password.
- You can order only what is in stock. Built-to-order parts are made after you order, and their product page shows the build time.
- Your order confirmation email confirms we received your order. We accept your order when we ship it or mark it ready for pickup. We may decline or cancel an order if a part is unavailable, a price is wrong, or we suspect fraud. If we do, we release or refund any payment.
3. Payment
Credit and debit cards
- Card payments are processed by Stripe. Your card number goes straight to Stripe and is never stored on our servers.
- When you order, we place a hold (authorization) for the order total on your card. We charge your card only when your whole order has shipped or been picked up. If we ship part of an order and the rest is cancelled, we charge only for what shipped and release the rest of the hold.
- Card holds expire after several days. If your order has not shipped before the hold expires, we will contact you to arrange payment.
Purchase orders
- Purchase-order payment is available only to business accounts we have approved for it. You must enter your PO number at checkout, and you may attach a copy of your PO (PDF, JPEG or PNG, up to 10 MB).
- Our team reviews each purchase-order order.
- Payment terms: we invoice purchase-order accounts separately. Invoices are generally due within 30 days of the invoice date (Net 30), unless we agree other terms with you in writing.
4. Sales tax and tax exemption
- We charge sales tax in the states where we are required to collect it, based on the delivery address, or on the pickup branch when you pick up. Where the law requires, tax also applies to shipping charges. Your order shows the tax before you pay.
- If your business is tax-exempt, upload your exemption certificate in Account Settings: the certificate number, the issuing state, the expiry date if it has one, and a copy of the certificate (PDF, JPEG or PNG, up to 10 MB).
- We review each certificate. Once we approve it, sales tax is not charged on orders you place after the approval, until the certificate expires. We do not refund tax on orders placed before approval.
- You are responsible for the accuracy of your certificate and for telling us if it is revoked or no longer applies. If tax should have been charged, you agree to pay it.
5. Shipping, pickup, title and risk
- We ship to addresses in the 50 US states and the District of Columbia, or you can pick up at one of our branches. See our Shipping and Pickup Policy.
- Delivery dates and build times are estimates, not guarantees. We are not responsible for carrier delays or for downtime caused by a late delivery.
- Title to the parts and the risk of loss or damage pass to you when we hand your order to the carrier, or when you pick it up. If a shipment arrives damaged, report it as described in our Returns and Refunds Policy.
6. Cancelling an order
- You can cancel an order yourself from your Orders page until any part of it has shipped. If we placed a hold on your card, we release it.
- Once part of an order has shipped, or for an approved purchase-order order, contact us to cancel. You will be charged for what has already shipped.
7. Returns
Returns and refunds are covered by our Returns and Refunds Policy. Custom core builds are made to your measurements and cannot be returned.
8. Warranty
We warrant the heavy-duty parts we sell to be free from defects in material and workmanship for 24 months from the date of your order, for as long as the original purchaser owns the vehicle in which the part was first installed.
To make a warranty claim, request a return from your account with the reason "Warranty/Defect return" and photos of the problem. For a custom core build, which cannot be returned through your account, contact us instead. Once we confirm the defect, we will repair or replace the part, or refund its price, at our option. That is your only remedy for a defective part.
This warranty does not cover:
- labor, or any materials we did not supply;
- a part subjected to misuse, negligence, or operating conditions other than those it was designed for;
- a part that has been repaired or altered in any way;
- the physical or chemical effects of any corrosive substance in the operating environment or the equipment;
- a solder-on tank or bolt-on tank radiator that has been run with red antifreeze or any other extended-life (OAT) coolant.
EXCEPT FOR ANY WARRANTY STATED ABOVE, AND TO THE EXTENT THE LAW ALLOWS, WE SELL PARTS WITHOUT ANY OTHER WARRANTY, EXPRESS OR IMPLIED, INCLUDING ANY IMPLIED WARRANTY OF MERCHANTABILITY OR FITNESS FOR A PARTICULAR PURPOSE. Fitment information and AI Parts Expert answers are guidance to help you choose, not a warranty that a part fits your vehicle.
9. Limitation of liability
TO THE EXTENT THE LAW ALLOWS, WE ARE NOT LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL OR CONSEQUENTIAL LOSSES, INCLUDING LOST PROFITS, VEHICLE DOWNTIME, TOWING, LABOR TO INSTALL OR REMOVE PARTS, OR DAMAGE TO OTHER EQUIPMENT. OUR TOTAL LIABILITY FOR ANY CLAIM ABOUT AN ORDER IS LIMITED TO THE AMOUNT YOU PAID FOR THE PARTS THAT GAVE RISE TO THE CLAIM.
10. Governing law
These terms are governed by the laws of the State of Oklahoma, without regard to its conflict-of-law rules. Any dispute will be heard in the state or federal courts located in Oklahoma County, Oklahoma, and you and we agree to those courts' jurisdiction.
11. Changes
We may update these terms. The terms in effect when you place an order apply to that order.
